Who we are
Onward Cleaning Services ("Onward", "we") provides commercial and post-construction cleaning to businesses in Toronto and the Greater Toronto Area, Ontario, Canada. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL). What we collect
We only collect what we need to quote and schedule cleaning.
- Quote form: your name, company, role, phone, email, the site address and city, square footage, building type, service choices, dates, access and site-contact details, notes, any photos or floor plans you upload, and whether you'd like a walkthrough.
- Callback form: your name, company, phone, email (optional), what you need, the best time to call, and your message.
- Details we add automatically: the page you sent the form from, and when you sent it.
Please don't upload photos that show people, documents, or other personal information. If one does, we delete it or crop it out of the job file.
What we don't do
- No advertising cookies, and no analytics that follow you across other sites.
- No selling, renting, or trading of your information.
- No marketing emails unless you've separately and expressly agreed to receive them, as CASL requires. Messages about your quote or job are not marketing.
Why we use it
To reply to your request, prepare and send your quote, schedule and carry out the cleaning, send photo closeout reports, invoice you, and keep the business records the law requires. By submitting a form and ticking the consent box, you agree to us using your information for these purposes. You can withdraw consent at any time (see Your rights), although we may then be unable to quote or clean for you.
Who sees it
- Onward staff, including the Onward site manager, to prepare your quote and manage your job.
- The cleaners assigned to your job, who receive only what they need to do the work, such as the site address, access instructions, site contact, and scope. They are required to keep it confidential and use it only for your job.
- Service providers that run our website, forms, email, and records (for example our web host, and Google (Gmail, Google Sheets and Google Drive), where quote requests and photos are kept). They process information on our behalf, under agreements that require them to protect it. Some may store information outside Canada, including in the United States, where it may be accessible to authorities under local law.
- Authorities, only where the law requires it.
Technical information
Like every website, our host may keep standard server logs (such as your IP address, browser type, and the pages requested) for security and reliability. Our pages load fonts from Google Fonts, which means your browser connects to Google and shares your IP address with it; see Google's privacy policy. To limit spam, the forms keep a short count of recent submissions in your browser's session storage, which is cleared when you close the tab. We don't set cookies.
How long we keep it
- Quote and callback requests that don't become a job: deleted within 24 months of your last contact with us.
- Client records (quotes, invoices, and job records): kept for as long as we work together and then for the period tax law requires, generally six years, after which they're deleted.
- Photos and floor plans: kept with the job file for the same periods, or deleted sooner on request if they're not needed for our records.
How we protect it
The site is served only over an encrypted connection (HTTPS), forms include spam protection, access to lead and client records is limited to people who need it, and our service providers must protect information to a comparable standard. No method of sending or storing information is completely secure, so if a breach creates a real risk of significant harm, we will notify you and report it to the Office of the Privacy Commissioner of Canada as PIPEDA requires.
Your rights
You can ask to see the personal information we hold about you, have it corrected, or withdraw your consent and have it deleted (unless the law requires us to keep it). Email info@onwardcleaning.ca and we'll respond within 30 days. If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
Business clients
Onward works with businesses, and our site isn't intended for children. We don't knowingly collect information from anyone under 18.
Changes to this policy
If we change how we handle information, we'll update this page and the date at the top. Significant changes that affect information we already hold will be communicated to you directly.
